Privacy Policy

A.H.P. Inter College, Chhutmalpur, Saharanpur, Uttar Pradesh ("the College", "we", "us") respects your privacy. This policy explains what personal data we collect through ahpintercollege.in ("the website"), why we collect it, and the choices you have. It is written in line with India's Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

1. Data we collect

Information you give us

• Contact form: your name, email address, subject and message. The form sends this to the College's email inbox (info@ahpintercollege.in); it is not stored in a website database.
• Email and phone enquiries: whatever you choose to include when you write to or call us.
• Staff portal (staff only): staff ID and password used to sign in to the staff/admin portal.

Information collected automatically

• Server logs: like most websites, our hosting provider records technical details of each request, such as IP address, browser type, pages visited and time of visit, for security and troubleshooting.
• Visitor counter: the footer shows a total page-view count. It stores only a running number, not who visited.
• Cookies and local storage: see section 5 and our Cookie Policy.

We do not run advertising, sell data, or use third-party analytics or tracking pixels on the website.

2. How we use your data

• To reply to your enquiry about admissions, academics, documents or any other matter.
• To let authorised staff sign in to the staff/admin portal and keep that session secure.
• To keep the website secure, prevent misuse and fix technical problems.
• To meet legal or regulatory obligations that apply to the College.

We use personal data only for the purpose for which you provided it, or with your consent.

3. Information about students

As a school, the College publishes some information about students on the website. This includes board-exam toppers with their results and photographs, photographs and videos of school events in the gallery, and Transfer Certificate (TC) records so that they can be downloaded. Pages listing individual students are marked so that search engines do not index them.

Parents or guardians who want a child's name, photograph or record removed or corrected can contact us using the details in section 10. We will act on such requests promptly.

4. Third-party services

The website loads some content from trusted third parties, which may receive your IP address when your browser requests it:

• Google Maps: the map on our Contact page. It loads only after you allow optional cookies. See Google's Privacy Policy.
• Google Fonts: web fonts used for page text.
• jsDelivr and cdnjs (Cloudflare): content delivery networks that serve Bootstrap, icons and other page libraries.
• Hosting and email provider: the website and the College email inbox are hosted by a third-party provider that processes data on our behalf.

External sites linked from the website (for example, UP Board portals) have their own privacy policies.

5. Cookies

The public website uses only the cookies it needs to work, plus Google Maps cookies if you allow them. Staff who sign in get a session cookie, and a "remember me" cookie if they choose it. Full details are in our Cookie Policy.

6. How long we keep data

• Contact-form messages and emails: kept in the College inbox for as long as needed to deal with the enquiry and for reasonable record-keeping, then deleted.
• Server logs: kept for a limited period by our hosting provider and then deleted automatically.
• Student records: kept as required by UP Board and education regulations.

7. Security

We use HTTPS encryption, access controls on the staff portal, and limit access to personal data to authorised staff. No method of transmission over the internet is completely secure, but we take reasonable steps to protect your information.

8. Your rights

Under the Digital Personal Data Protection Act, 2023 you may:

• ask what personal data we hold about you and how it is used;
• ask us to correct, complete, update or erase your personal data;
• withdraw consent you have given (for example, to optional cookies) at any time;
• raise a grievance with us, and if you are not satisfied, with the Data Protection Board of India;
• nominate another person to exercise these rights on your behalf.

For a child under 18, these rights are exercised by the parent or lawful guardian.

9. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top shows when it was last changed. Significant changes will be highlighted on the website.

10. Contact & grievance officer

We aim to respond to privacy requests and grievances within 30 days.
